1. Job Function: Provide administration and clerical oversite and support for sales and service organization. This position is a high profile front line position, having daily contact with customers and represented manufacturers. Position requires professional personal interaction, a positive customer service attitude, superior phone etiquette, knowledge of all office equipment and software to include: basic computer, printer, fax machine, scanner, copier, router, phone system, basic filing, and data entry for inventory, internet, Microsoft Office, Word, Microsoft Excel and associated software programs. Requires accounting experience, A/R, A/P system input and other software as required.
2. Job Purpose: This high profile position is required to effectively and efficiently sustain operations of the office, warehouse, and service facility in Anchorage, Alaska with subsidiary locations in West Virginia, Soldotna and Palmer Alaska. Successful Job Performance will result in companies increase in organizational effectiveness, customer satisfaction, growth through efficiency and planning. Other responsibilities may include assisting General Manager, CFO, Sales Manager and potentially President CEO with Special projects.
A. Identify and locate resource requirements for fulfilling customer service support.
B. Process Purchase Orders.
C. Process daily weekly and monthly sales reports.
D. Process customer invoices.
E. Identify and input data for Marketing Analysis and Sales Plan.
F. Provide administrative support as required.
G. Provide logistical planning and coordination.
H. Ensure accurate and timely submission of all sales and administrative time sheets, purchase orders, sales orders, field activity reports, accident reports, incident reports and inspection reports, testing and recertification documentation, iron serial number tracking and use reports as well as expense reports.
I. Provide filing for personnel orientation and training for all new employees, to include, first aid, HAZWHOPPER, Equipment operations, vehicle operations, Job training.
J. Track status of Purchase Orders, create, update input and sustain Smart sheet documents
